1. Current situation

On our last call, you told us where the problems are:

  • Inbound leads are handled over email, and by the time anyone replies the buyer has moved on
  • There is no script, no qualification and no follow up structure behind your sales conversations
  • The team is calling from personal phones, so international leads are expensive or unreachable
  • The website was never built to convert. It asks for a demo booking and gives a buyer no reason to say yes

We agree with all four. And we are not going to leave them unsolved while we build demand on the other side.

This document is not a list of ideas. It is the plan we are putting into action: how we take Smart Bulk Payments from where you are now, with the problems below sitting in the open, to a funnel where every qualified visitor has the highest possible chance of becoming a customer.

Three phases. A decision gate at day 90, so you are never locked into something that is not working.

2. What you told us

Your leads are handled over email, and it is too slow.

You said it yourself: by the time someone replies, the lead has cooled. The data agrees. Contacting a lead within five minutes rather than thirty makes you 100 times more likely to reach them and 21 times more likely to qualify them (MIT / InsideSales Lead Response Management Study, Dr. James Oldroyd, 15,000 leads analysed). After the five minute mark, the odds of qualifying that lead drop by around 80 percent.

The fix is not a better email template. It is a five minute call SLA: form submitted, phone ringing, inside five minutes.

Your team cannot make those calls today.

Everyone is on personal phones. International calls are expensive, and WhatsApp is not universal (Germany being the obvious example). The single highest leverage change in your funnel is currently blocked by a tooling gap that costs very little to close.

"Request a demo" is the highest friction offer you can put on a SaaS website.

It asks a stranger to commit to a scheduled call with a salesperson before they have seen anything. What they actually want is to look at the product. Right now that CTA also routes from the payment platform page to a general contact page, so even the people willing to do it are being dropped into the wrong place.

Our recommendation: a self serve demo environment with dummy data, where a buyer can click around the platform and book an onboarding call from inside it. Lower friction to enter, higher intent by the time they raise a hand.

The contact form is a bottleneck.

One generic form, inconsistent styling, no qualification, no reason for a serious buyer to identify themselves. It tells you nothing about who is on the other side.

Your sales process is unstructured.

No qualification script. No agreed definition of a qualified lead. No follow up cadence. Outbound and partnerships carry the business, and inbound is effectively unmanaged.

Everything lives in a spreadsheet.

That is workable at your current volume, so we are not going to force a CRM migration on day one. But a spreadsheet answers none of the questions that make a sales team better. Where are the call notes? Where are the recordings? How does Victor review a lost deal and see why it was lost? How do you coach anyone if nobody can hear the calls?

Sales calls should be recorded and reviewed. Without that, every rep improves at their own pace, in private, and the company learns nothing.

Nothing is measured.

Lead source is not tagged. Pipeline stages are not defined. There is no way to show what GEO, outbound or partnerships each actually produced.

Demand is about to start arriving. Every part of the system that receives it is currently unfit to hold it.

Goal: no inbound lead is lost to friction or delay.

Conversion infrastructure

  • Multi step qualification flow replacing the contact form, handed over as implementation ready code
  • Progressive commitment logic: low friction fields first (name, email), high friction last (phone, volume, revenue)
  • Framed as qualification for a call, not a contact request
  • CTA audit and routing fixes across every commercial page, starting with the payment platform page
  • Self serve demo environment specified: what the dummy account shows, where the booking prompt sits, how leads are captured from inside it
  • Trust signals added to the money pages: logos, volumes processed, compliance credentials, named results
  • Conversion copy rewrite on the top three commercial pages, aligned to the audience GEO is bringing in

Speed to lead

  • Instant notification routing to the sales team on every submission
  • Five minute call SLA defined, documented and tracked as a metric
  • International calling stack specified and set up (one shared business line, no personal phones)
  • Fallback channel logic per market (WhatsApp, Telegram, direct dial)

Deliverables: multi step form code and specification, CTA and routing fix list, demo environment specification, rewritten page copy, notification and routing setup, calling stack set up with your team.

Measured at day 45: form completion rate, and time from submission to first human contact. Both baselined in week one.

Days 46–90Phase 2: Sharpen the close
Goal: the team converts what the funnel now delivers.

Sales system

  • Five minute qualification script, two to five questions, written for a cold call into an active buyer
  • Discovery call structure and agenda
  • Objection handling library for the top objections in payments and compliance
  • Follow up cadences for booked, no show, and gone quiet
  • Proposal and close mechanics, including a standard commercial one pager
  • Call recording set up, plus a weekly review routine so Victor and the team can hear what is actually being said

Coaching

  • Live call reviews with your team, using their own recordings
  • Script refinement based on what buyers actually push back on, not what we assume

Pipeline tracking

  • Pipeline stages defined with entry and exit criteria
  • Lead source tagging so GEO, outbound, partnerships and referral are separated
  • One dashboard: leads, calls, opportunities, closed revenue
  • Weekly reporting rhythm

Measured at day 90: connect rate, form to booked call conversion, and a pipeline number you can trust.

Days 91–180Phase 3: Prove and compound
Goal: turn signed deals into activated revenue, and make optimisation continuous.

Onboarding and post sale conversion

  • Hybrid high touch onboarding, modelled on the Kingdom Bank approach: a named contact and a private channel per client for communication and document collection
  • Compliance steps mapped into that channel so nothing is lost between sales and onboarding
  • Time to activation measured and reduced
  • Referral request built into the onboarding sequence

Continuous optimisation

  • Monthly test roadmap: forms, pages, headlines, scripts
  • Split testing on the qualification flow and the top commercial pages
  • Funnel diagnostics reviewed monthly against the pipeline dashboard
  • Conversion data fed back into the GEO content plan, so we produce content on the topics that generate buyers rather than traffic

Deliverables: onboarding playbook and channel structure, activation tracking, monthly test roadmap, monthly optimisation report, quarterly funnel review.

Measured continuously: time to activation, and month on month movement in qualified pipeline.

Decision gate, day 90

We review three numbers together: form completion rate, time to first contact, and form to booked call conversion. If the funnel is measurably better, we move into Phase 3. If it is not, you stop, with no further commitment, and you keep every asset we have built.

06 Why Now

6. The Stakes

You have a small number of inbound opportunities. That is exactly why this matters. When volume is low, every lost deal is a large percentage of the total.

If nothing changes:

  • Leads keep arriving by email and cooling before anyone calls, and you keep losing deals you never knew were winnable
  • The demo request keeps filtering out everyone who was not already ready to be sold to
  • Nobody can hear a sales call, so the team never gets better and the same objection keeps closing the same doors
  • The revenue engine stays entirely dependent on partnerships and events, which do not compound and do not scale with your effort
  • The GEO investment gets judged on a funnel that was never built to convert

That last point is the one we care most about. We are two months in, and most of that time went on repairing the technical and historical issues on the site. Content and demand generation start now.

So what

Which means the traffic is coming. And right now, we are genuinely concerned that the website will not convert it. Not because the traffic will be poor, but because the site does not carry the trust signals a payments buyer needs, does not speak clearly to the audience AI search will send, and hands every interested visitor the highest friction offer available. It does not matter how many qualified buyers we bring in if the destination loses them.

7. What happens next
